Terms and Conditions

Booksaidso provides an AI-powered bookkeeping tool designed to help micro-businesses and freelancers in Hong Kong categorise financial transactions, extract data from receipts, and manage Director's Current Account (DCA) reconciliation. The Service generates exported data files (e.g., CSV spreadsheets) intended to assist with your bookkeeping process.

Booksaidso is a technology platform, not a certified public accounting firm, financial advisor, or tax consultancy.

The Service is designed to assist you in preparing your accounts, but you remain solely responsible for the accuracy of your financial records and tax filings.

The AI categorisation, receipt extraction, and DCA reconciliation features produce automated suggestions only. You or your appointed auditor or accountant must review and verify all generated data before submitting it to the Inland Revenue Department (IRD) or any other authority.

We accept no liability for any audits, penalties, or financial losses resulting from inaccurate data entry, AI misclassification, or improper use of the Service.

To use the Service, you must create an account. You are responsible for:

• Maintaining the confidentiality of your login credentials, including magic links sent to your email address
• Providing accurate and complete information when registering
• All activity that occurs under your account

You must not use the Service for any illegal or unauthorised purpose, including uploading fraudulent receipts or manipulating financial records. We reserve the right to suspend or terminate accounts found to be in violation of these Terms.

We offer a 14-day free trial to new users. No credit card is required to start a trial. During the trial period, you have full access to the Service.

At the end of the trial period, your account will enter read-only mode. You will have 30 days to export all your data via the built-in CSV export function. We will send reminder emails before this window closes.

If you subscribe before the end of the trial period, your full access is restored immediately with no loss of data.

Booksaidso operates on a subscription basis (Pro and Business plans).

• Fees are billed in advance on a recurring monthly or annual basis, depending on your selected plan
• All payments are processed securely through Stripe
• Prices are displayed in Hong Kong Dollars (HKD)

Founding 50 Price Lock: The first 50 paying subscribers are entitled to lock in the current Founding 50 pricing permanently, even if we raise prices in the future. This lock applies as long as your subscription remains active and in good standing.

Cancellation: You may cancel your subscription at any time. You will retain full access to the Service until the end of your current paid billing period. No partial refunds are issued for unused days within a billing period.

Refund Policy: Due to the nature of digital software and the immediate incurrence of AI processing costs upon usage, we do not offer refunds once a billing cycle has commenced, except where required by applicable Hong Kong consumer protection law. If you believe you have been charged in error, please contact us at hello@booksaidso.com within 14 days of the charge.

By uploading receipts, invoices, and other financial documents to Booksaidso, you grant us the right to process this data solely for the purpose of providing the Service to you.

We use third-party Large Language Models (LLMs) via API to extract and categorise data from your documents. These models process your data transiently for the purpose of generating a response and do not retain or learn from your data.

We do not:

• Use your private financial data to train public AI models
• Sell your data to third parties
• Share your data with any unauthorised parties

The Booksaidso platform, including its software, design, branding, and system prompts, is owned by us and protected by applicable intellectual property laws.

Your data is yours. All financial data, transaction records, receipts, and exported files you create or upload remain your property. We claim no ownership over your financial information. You may export and delete your data at any time.

To the maximum extent permitted by applicable Hong Kong law, Booksaidso and its founder shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including without limitation loss of profits, data, goodwill, or other intangible losses, resulting from:

• Your access to, use of, or inability to use the Service
• Any AI misclassification or data extraction error
• Unauthorised access to or alteration of your data
• Any conduct or content of third parties in connection with the Service

In no event shall our total aggregate liability to you exceed the total amount you paid to us in the three (3) months immediately preceding the claim.

Nothing in these Terms excludes or limits our liability for fraud, death, or personal injury caused by our negligence, or any other liability that cannot be excluded under Hong Kong law.

On subscription cancellation or trial expiry: Your account enters read-only mode. You have 30 days (as communicated) to export your data. We retain your data internally for up to 90 days from the date of expiry as a safeguard, after which it is permanently deleted.

On reactivation: If you resubscribe within 90 days, all your data is restored in full.

On account termination by us: If we terminate your account for violation of these Terms, we will provide reasonable notice and an opportunity to export your data unless the violation involves fraud or illegal activity.

We reserve the right to modify or discontinue the Service (or any part thereof) with or without notice. We may update these Terms from time to time. We will notify you of material changes by email and by updating the “Last Updated” date at the top of this page. Continued use of the Service after such changes constitutes your acceptance of the updated Terms.

These Terms are governed by and construed in accordance with the laws of the Hong Kong Special Administrative Region (HKSAR). Any dispute arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of Hong Kong.
