Terms and Conditions

Booksaidso provides an AI-powered bookkeeping tool designed to help micro-businesses and freelancers in Hong Kong categorise financial transactions, extract data from receipts, and manage Director's Current Account (DCA) reconciliation. The Service generates exported data files (e.g., CSV spreadsheets) intended to assist with your bookkeeping process.

Booksaidso is a technology platform, not a certified public accounting firm, financial advisor, or tax consultancy.

The Service is designed to assist you in preparing your accounts, but you remain solely responsible for the accuracy of your financial records and tax filings.

The AI categorisation, receipt extraction, and DCA reconciliation features produce automated suggestions only. You or your appointed auditor or accountant must review and verify all generated data before submitting it to the Inland Revenue Department (IRD) or any other authority.

We accept no liability for any audits, penalties, or financial losses resulting from inaccurate data entry, AI misclassification, or improper use of the Service.

To use the Service, you must create an account. You are responsible for:

• Maintaining the confidentiality of your login credentials, including magic links sent to your email address
• Providing accurate and complete information when registering
• All activity that occurs under your account

You must not use the Service for any illegal or unauthorised purpose, including uploading fraudulent receipts or manipulating financial records. We reserve the right to suspend or terminate accounts found to be in violation of these Terms.

Booksaidso offers a permanent free tier. No credit card is required. New users receive 250 AI credits at sign-up, which can be used at any time — there is no expiry date on free credits.

AI credits are consumed when you use AI-powered features (e.g., logging a transaction via chat, processing an uploaded receipt). Non-AI features such as viewing transactions, exporting CSV, and editing saved records are always free.

Once your free credits are exhausted, you will need to subscribe to a paid plan to continue using AI-powered features. Your existing data remains fully accessible and exportable at no cost.

Paid plans (Pro and Business) receive a monthly or annual credit allocation that refreshes each billing cycle. Unused credits do not roll over.

Booksaidso operates on a subscription basis (Pro and Business plans).

• Fees are billed in advance on a recurring monthly or annual basis, depending on your selected plan
• All payments are processed securely through Stripe
• Prices are displayed in Hong Kong Dollars (HKD)

Founding 50 Price Lock: The first 50 paying subscribers are entitled to lock in the current Founding 50 pricing permanently, even if we raise prices in the future. This lock applies as long as your subscription remains active and in good standing.

Cancellation: You may cancel your subscription at any time. You will retain full access to the Service until the end of your current paid billing period. No partial refunds are issued for unused days within a billing period.

Refund Policy: Due to the nature of digital software and the immediate incurrence of AI processing costs upon usage, we do not offer refunds once a billing cycle has commenced, except where required by applicable Hong Kong consumer protection law. If you believe you have been charged in error, please contact us at hello@booksaidso.com within 14 days of the charge.

By uploading receipts, invoices, and other financial documents to Booksaidso, you grant us the right to process this data solely for the purpose of providing the Service to you.

We use Qwen (a Large Language Model developed by Alibaba Cloud), accessed via OpenRouter, to extract and categorise data from your documents. Your data is transmitted to servers outside Hong Kong for AI processing, including data centres in Singapore and China operated by Alibaba Cloud. Alibaba Cloud retains prompt data in accordance with their service terms but does not use your data for model training.

We do not:

• Use your private financial data to train any AI model
• Sell your data to third parties
• Share your data with any unauthorised parties
• Transmit your email address, payment details, or credentials to any AI provider

The Booksaidso platform, including its software, design, branding, and system prompts, is owned by us and protected by applicable intellectual property laws.

Your data is yours. All financial data, transaction records, receipts, and exported files you create or upload remain your property. We claim no ownership over your financial information. You may export and delete your data at any time.

To the maximum extent permitted by applicable Hong Kong law, Booksaidso and its founder shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including without limitation loss of profits, data, goodwill, or other intangible losses, resulting from:

• Your access to, use of, or inability to use the Service
• Any AI misclassification or data extraction error
• Unauthorised access to or alteration of your data
• Any conduct or content of third parties in connection with the Service

In no event shall our total aggregate liability to you exceed the total amount you paid to us in the twelve (12) months immediately preceding the claim.

Nothing in these Terms excludes or limits our liability for fraud, death, or personal injury caused by our negligence, or any other liability that cannot be excluded under Hong Kong law.

Active accounts: Your data is retained for as long as your account is active and in use.

On subscription cancellation: Your account is downgraded to the free tier. All your data — transactions, chat history, receipts, and reports — remains fully intact and accessible. CSV export is always available at no cost, with no time limit. Your data is then subject to the same 12-month inactivity policy as any free-tier account (see below). There is no forced deletion window after cancellation.

On resubscription: If you resubscribe at any point while your data is still retained, you pick up exactly where you left off with no data loss.

Inactive free accounts: Free-tier accounts that have had no activity for 12 consecutive months will have all associated data (transactions, chat history, uploaded files, and profile information) permanently and irreversibly deleted. This is measured from your last recorded session activity. We will make reasonable efforts to notify you by email before deletion occurs.

Requesting deletion: You may request deletion of your account and all associated data at any time from the Settings page. The following grace periods apply before deletion is finalised:

• Free accounts registered less than 30 days ago (and never previously on a paid plan): deletion is processed immediately with no grace period.
• Free accounts older than 30 days (and never previously on a paid plan): a 7-day grace period applies. You may cancel the deletion request within this window.
• Paid plan accounts, or accounts that have previously held a paid plan: a 14-day grace period applies. Your subscription is cancelled immediately upon requesting deletion, with no refund for the remaining billing period. You may cancel the deletion request within the 14-day window.

Yearly plan refunds: If you are on a yearly plan and wish to discuss a pro-rated refund before submitting a deletion request, please contact us at hello@booksaidso.com before initiating deletion. Once a deletion request is submitted, the subscription is cancelled immediately and no refund is automatically issued.

Once the grace period elapses, all data — transactions, invoices, receipts, chat history, uploaded files, and profile information — is permanently and irreversibly deleted and cannot be recovered. We strongly recommend exporting your data via the Audit Export page before requesting deletion.

On account termination by us: If we terminate your account for violation of these Terms, we will provide reasonable notice and an opportunity to export your data unless the violation involves fraud or illegal activity.

All deletion requests are processed in accordance with the Personal Data (Privacy) Ordinance (Cap. 486).

We reserve the right to modify or discontinue the Service (or any part thereof) with or without notice. We may update these Terms from time to time. We will notify you of material changes by email and by updating the “Last Updated” date at the top of this page. Continued use of the Service after such changes constitutes your acceptance of the updated Terms.

These Terms are governed by and construed in accordance with the laws of the Hong Kong Special Administrative Region (HKSAR). Any dispute arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of Hong Kong.
